    Key Purpose of the Job:
    The Accounts Assistant will aid the Finance Director in the efficient running of the Finance department.


    Duties to Include:

    Daily Duties:
    Open all accounts dept post & distribute letters/faxes for FD

    Maintaining comprehensive PO system
    Receive and code all invoices and expense forms for approval by FD

    Supplier statement reconciliations
    Reconciling bank accounts and transferring surplus to money market accounts once daily

    Deal with all supplier queries
    Administer petty cash using IMPREST system

    All relevant filing

    Periodic Activities (not daily but more frequent than monthly):
    Reconcile and replenish petty cash (weekly)
    Weekly cheque run, which includes BACS/CHAPS payments on Bankline

    Company credit cards reconciliations
    Ad hoc payments where necessary by petty cash, cheque or via Bankline

    Maintain project fee summaries, and contract analyses and issue sales invoices for fees
    Credit control including chasing of debtors and booking in and paying in of cheques/funds received

    Post staff and runner float journals
    General ledger journals

    Ad hoc cost cutting/efficiency exercises

    Monthly Activities
    Prepare manual bank reconciliations

    Issue recharge invoices with all relevant back-up
    VAT returns

    Reconcile staff advances and rail loans
    Monthly cash flow

    Analysis of finance leases

    Quarterly/Annual:
    Assistance with preparation of annual budget

    Dealing with queries from auditors


    Person Specification:

    Knowledge and Experience:
    Understanding of the accounts payable process from POs to payment, including coding invoices
    Advanced knowledge and understanding of Excel as well as other Microsoft office packages

    Understanding of accounts receivable including invoicing and chasing payment is desirable

    Financial and numeracy skills including high levels of accuracy

    Strong organisational skills including proven ability to prioritise and work to deadlines

    Ability to think quickly and adapt to changes with a can-do attitude

    Good interpersonal and communication skills

    Ability to work on own initiative and as part of a team

    IT skills including a self-sufficiency using a range of software packages
